Abstract

The implementation of Enterprise Resource Planning (ERP) systems in the healthcare sector, especially in pharmacy, has become essential for improving operational efficiency and business process integration. However, shifting from the conventional system to the new ERP integrated system is impeded by problem occurrence due to the system gaps, particularly in the business process, thus the ERP cannot be performed well. Therefore, it becomes important to analyse and identify the business process, thus it can be adjusted to accommodate the ERP system. This research focuses on the business process redesign of Vmedis (ERP-based software for pharmacy) implementation in Apotek Mataram Klaten. The primary objective of this research is to solve the problem regarding the Vmedis business process alignment by adjusting the core business processes—stock management, procurement, and order fulfillment—thus the Vmedis system can be improved to enhance efficiency. This research employs Design Thinking methodology, which includes Empathize, Define, Ideate, Prototype, and Test phases, in addressing implementation challenges by fostering a human-centred approach. Data collection was conducted through interviews, direct observations, and employee surveys. The findings reveal several pain points, including difficulties that caused longer order processing times, stock management synchronization problems, and procurement inefficiencies. To address these issues, business process adjustments were proposed using Business Process Model and Notation (BPMN), and the effectiveness of these improvements was assessed using processing time analysis, process simulation, and User Acceptance Testing (UAT). The results indicate that the redesigned business process significantly improves operational efficiency, enhances workflow automation, and reduces process cycle time.
